      Digital Scan for Events Execution Guide

      Ensure a smooth and engaging behavioral event experience with DNA Behavior's Digital Scan for Events. This guide provides an end-to-end standard operating procedure to help you plan, execute, and troubleshoot the Digital Scan experience.

      Digital Scan for Events uses DNA Behavior’s technology to quickly identify attendees’ behavioral styles. With a simple pre-event scan and your preparation, attendees receive a colored lanyard, collateral, and insights that foster better networking, engagement, and personalized event experiences.

      Objectives

      • ✅ Seamless Digital Scan Integration: Attendees are scanned before the event and receive a lanyard color corresponding to their behavioral style.
      • ✅ Educational Signage & Visual Aids: Clear signage and a persona card explain the four behavioral styles.
      • ✅ Attendee Flexibility: If an attendee disagrees with their assigned style, they can choose a different one based on the educational signage or complete the DNA Behavior Discovery for a tailored result.
      • ✅ Interactive Experience: Event staff, presenters, and sponsors share the benefits of behavioral insights to enhance networking and engagement.

      Step 1: Digitally scan the Attendees

      🔹 For Small Groups

        • If your DNA Behavior account has Digital Scan enabled, you can process individuals directly in your account.
        • This is suitable for smaller or pre-screened event lists.

      🔹 For Large Groups

        • To process large groups, contact DNA Behavior Support in advance. We’ll help upload your attendee list in bulk for you. Please note that we need a 5-business-day notice to facilitate a bulk scan. Submit your request by following these steps:

      🔹 Last-Minute Attendees or Full Profile Requests

      DNA Behavior cannot accommodate last-minute attendee scans on your behalf. To manage unexpected attendees:

      • Ensure you have a team member with access to the DNA Web App and Digital Scan enabled.
      • Alternatively, provide a poster (see below) so attendees can self-select their behavioral style.
      • If a full scan is required, guide them to complete the Full Scan (DNA Behavior Discovery) using a QR code or web app station that you provide.

      Step 2: Order Supplies

      Order your materials at least 3 weeks in advance to avoid shipping delays or last-minute reprints.

      🏷️ Lanyards

      Tip: Always anticipate last-minute arrivals and have extra lanyards of each color on hand. Some industries skew heavily to a specific style (e.g., bookkeepers often score as “Planned”). Order extras accordingly.

      🪪 Badges or Badge Cards

      • Design Format: 5.5" x 3.5" – designed in Canva.
      • Hole Punch: Use an oval punch to match the lanyard.
      • PDF Templates: 

      Badges can clip on the back of event passes or be distributed as standalone identity cards. For a more refined and professional look, we recommend printing high-gloss, double-sided event badges, that include the oval clip designed for the bulldog lanyard. Use the front of the badge to highlight your event branding, and feature the attendee’s behavioral persona card on the back for easy reference and engagement.

      Alternatively, you can print the persona card on a standard postcard and have attendees clip it to the back of their event badge for a simpler, cost-effective solution.

      📋 Poster for Self-Selection

      This is a critical fallback tool. If an attendee didn’t complete their scan or disagrees with the result, direct them to the poster to self-select a lanyard based on their style.

      • Size: 24" x 30" (portrait orientation)
      • Content: Includes a simple breakdown of the four behavioral styles with color codes.
      • PDF Template:
      • Vendor used by partners in the past*: FedEx Office (formerly Kinko's)

      🔁 Use Case: Poster ensures the attendee experience remains seamless—even when technical or scheduling issues occur.

      📡 Share data securely with vendors, speakers, and sponsors only with prior attendee consent.

       

      Common Issues & How to Handle Them

      Last-minute attendee with no scan

      Direct to poster or allow completion of the DNA Discovery via a tablet or computer you provide.

      Disagreement with scan result

      Allow override and select new lanyard based on poster

      Ran out of a certain lanyard color

      Apologize, offer a badge card with correct color, and explain the situation

      Technical issue with the DNA Web App

      Have at least one backup printed list of attendees and their assigned style

      Lost badge or lanyard

      Keep extras of each lanyard and a few blank badges for emergencies

      • All attendees scanned and printed in an Attendee list (with the personas and colors listed)
      • Lanyards ordered (with extras available for dominant persona types)
      • Badges/cards designed and ordered
      • Poster printed and ready
      • Onsite access to the DNA Web App for emergency scans
      • Staff trained to explain the behavioral styles
      • Optional: QR codes or tablets for on-demand full profiles
